Build your wedding seating chart

The editor opens with eight round tables around a dance floor, a sample guest list and the two name lists switched on. Import your own guests, rename the tables, move people by dragging and pick a poster size before you download.

Use one name per row, or columns such as First name, Last name and Table. A Table column (3, Table 3 or a table name) seats guests straight away. The file is read in your browser and never uploaded.

Seating rules, rotation and chart view

Rules are used by Random assign and Shuffle with rules. Type names as they appear in the list; a first name alone works when it is unique.

Rotation keeps desk partners and groups together and moves the back row to the front, so every student gets a turn near the board.

Print one chart for the wall (board at the top) and one for your desk or a substitute (board at the bottom).

Table names

Rename tables, rows or groups, for example “Family”, “Friends” or “Row A”. Leave a field empty to keep the default name.

Export settings

Export resolution: 180 dpi. Large poster sizes use a lower dpi so the file stays small enough for your browser; text and lines stay sharp at viewing distance. Take the PDF to a print shop for posters.

Extra pages for printing

Add readable name lists after the chart. PDF and print include every page; PNG downloads one file per page.

Draft saved in this browser
This tool only prepares printable seating plans. It does not manage RSVPs, meal choices, ticket sales, seat reservations, venue safety limits or accounts, and it never decides by itself who should sit together: random seating only follows the keep-apart, sit-together and front-row rules you type.

Best for

  • Couples with a guest list in a spreadsheet who want a large sign for the reception entrance
  • DIY weddings that will take a PDF to a print shop or mount the print on foam board
  • Planners who want a plain chart plus a printed list sorted A–Z

Not the best fit for

  • RSVP tracking, meal choices or seating guests by who gets along; the keep-apart and sit-together rules only follow names you type
  • Portrait posters: the chart is landscape, so a portrait sign needs a design tool
  • Weddings above 144 seats on one chart; the name lists still handle any number of guests
  • Printing escort or place cards

How it compares

Zola
Pulls names from the guest list you keep in its app. Its FAQ describes a free version for up to 15 guests, with more guests in the paid version, and an account is needed. This page needs no account; you paste or import the names yourself.
WeddingWire
Offers a free seating tool that syncs with its guest list and asks you to create an account. Choose it if your RSVPs already live there; this page is for a standalone poster and list.
Canva and Etsy templates
Give a decorative designed poster, but every name is typed into a text box by hand. Use them for the artwork; use this page to place guests and generate the lists, then copy the finished names into a design if you want.

A wedding seating chart that prints big and reads from across the room

Poster sizes, an A–Z sign and a by-table list from one guest list.

Seat guests on a poster-size chart

Pick 18×24 in, 24×36 in or A2 and the whole chart scales to the sheet: round tables, a dance floor, seat circles and a notes box. Paste or import your guests, then assign them in order, at random or by dragging a name to a seat. Rename tables with numbers or short themes such as flowers or places.

Add an A–Z find-your-table sign

Guests look up their name, not their table, so most wedding seating charts list names alphabetically with the table beside each one. Tick the A–Z list and every guest is sorted with their table number, flowing onto extra poster-size pages if you have a long list. Enter names as “Chen, Avery” to sort by last name.

Hand the venue a guests-by-table list

The second list groups every table with its guests and shows how many seats are filled, followed by anyone not yet seated. Print it on A4 or Letter for the caterer or venue coordinator, or keep it at the same poster size beside the chart. Download the guest list with tables as a CSV to share or reuse.

How to make a wedding seating chart, step by step

From a guest list to a poster at the print shop in about ten minutes.

  1. Add your guest list

Paste one name per line, or import a CSV or TXT file. In a spreadsheet use Name and Table columns, or First name, Last name and Table, then save as CSV. To sort by last name, write each guest as “Chen, Avery”. Check the warning for duplicate names before you seat anyone.

    • Give a plus-one their own row so they get their own seat.
    • A Table column with 3, Table 3 or a table name seats guests as soon as you import.
    Import guests
  2. Set the tables to match your venue

The chart opens with eight round tables of eight. Open the layout settings to change the number of tables and seats. Vendor guides list 8 guests as comfortable at a 60-inch round table and 10 at a 72-inch round, so match the seats to the tables your venue provides.

    • Try the head table or sweetheart table layouts in the template library.
    • One chart holds up to 12 tables of 12 seats.
    Open layout settings
  3. Seat guests and name the tables

Choose Assign in order or Random assign, then drag names that need a specific seat. Rename tables if you prefer flowers or places to numbers; keep each name to one to three words so it reads from a distance. Seat divorced parents and other sensitive pairings by hand.

    • Numbers are quickest for guests to scan once you pass about ten tables.
    • Add a note for entrance or buffet details in the notes box.
    Arrange seats
  4. Add the A–Z and by-table lists

Both lists are switched on for this page. Use the A–Z list as the sign guests read first, and the guests-by-table list for your caterer or coordinator. Check the preview for long names and page breaks; a long list continues on extra pages.

    • Alphabetical lists are the usual choice for a poster; a by-table list suits very small weddings.
    • Finalise the lists after RSVPs close, about three to four weeks before the day.
    Check the lists
  5. Choose the poster size and export

Pick 24×36 in for a chart guests read from a few feet away, 18×24 in for a smaller wedding, or A2 if you print in the UK or Europe. Download the PDF and take it to a print shop, which can mount it on foam board; poster sizes export at 127–190 dpi, which stays sharp at viewing distance. Print Letter or A4 copies at 100% for the planner.

    • Ask the print shop for the exact size you chose and a proof for one page.
    • The chart is landscape; ask for it mounted in landscape too.

Wedding seating chart FAQ

Answers about sizes, alphabetical lists, importing guests and printing.

Is this wedding seating chart maker free, with no sign-up or watermark?

Yes. Editing, PDF and PNG downloads, the CSV download and printing are free. There is no account to create, nothing is stamped on the chart or the lists, and your guest names are processed in your browser.

How do I make a wedding seating chart from my guest list?

Import a CSV or paste one name per line, keep or change the eight-table layout, then assign guests in order, at random or by dragging. Add the A–Z and by-table lists, choose a poster size and download the PDF. A Table column in your CSV seats everyone on import.

Do you need a seating chart for a wedding?

No rule requires one. A chart or escort cards usually helps once you have several tables, because it stops a crowd choosing seats at the door and lets you seat families and groups deliberately. If you only have a handful of tables, a short A–Z list may be enough.

What size should a wedding seating chart be, 18×24 or 24×36?

Design and printing guides most often suggest 24×36 in so guests can read it from a few feet away, and 18×24 in for a smaller indoor wedding of under about 100 guests. In the UK, A2 and A1 are common. This page exports 18×24 in, 24×36 in and A2; ask your print shop to confirm size and price.

Should a wedding seating chart be alphabetical or by table?

Alphabetical is the usual choice for a poster because guests look for their name, with the table number beside it; sorting by last name is the common advice. A by-table list suits a very small wedding and is handy for the caterer. This tool prints both from the same plan.

How many guests fit at a round table at a wedding?

Vendor guides list 8 guests as comfortable at a 60-inch round table and 10 at a 72-inch round, with a couple more possible when it is tight. The preset opens with 8 tables of 8 and you can raise that to 12 tables of 12, up to 144 seats on one chart.

Can I import my guest list from Excel or Google Sheets?

Yes. Save the sheet as CSV and import it. Use one name per row, or columns named Name, First name, Last name and Table (Spanish, Portuguese, French, German, Japanese, Chinese and Korean headers work too). The file is read in your browser, and you can download the list again with tables.

Escort cards or a wedding seating chart: which do I need?

They do different jobs. Escort cards are small cards guests pick up with their table; the wedding seating chart is the large sign that shows everyone at once. Many couples use one or both. This page makes the chart and lists, not the cards.

Where do the head table, sweetheart table and divorced parents go?

Common advice is a head table or a two-person sweetheart table facing the room, with divorced parents at separate tables near the front alongside their own family. Try the head table and sweetheart layouts in the template library, then place those seats by hand.

How far ahead should I finalise the wedding seating chart?

A common timeline is three to four weeks before the wedding, after RSVPs close. Keep the draft in your browser and edit it as replies arrive, then print the poster once the list is settled, leaving time for the print shop.
