Gift Certificate Wording: Examples, Terms to Include and Expiry Rules by Country
Gift certificate wording you can copy: examples for birthdays, spas and cafes, terms to include, and what US, UK, Australian and Canadian rules say on expiry.

Short answer: good gift certificate wording names who it is from and for, exactly what it is worth (an amount or one named service), how to redeem it, when it expires (or that it does not), and a one-line terms statement, plus a serial number if you sell it. For a personal gift a warm sentence and a clear promise is enough: “Good for one home-cooked dinner, any weekend. With love, Sam.” A business also needs terms such as “Not redeemable for cash except where required by law”, and an expiry date that complies with local rules.
Most pages on gift certificate wording stop at a few templates. This guide adds what is usually missing: ready-to-copy text for 20 occasions, short terms and conditions you can paste under the certificate, and a plain-English table of what the US, Canada, the UK and Australia say about expiry. It is general information, not legal advice. Updated 2026-10-17.
What to put on a gift certificate: the 8 parts
Every certificate, whether it is a handmade coupon or a salon voucher, is built from the same parts. Number them in this order and nothing gets forgotten.

| # | Part | Example | Who needs it |
|---|---|---|---|
| 1 | Title and giver or business name | ”Gift Certificate · Blue Door Spa” | Everyone |
| 2 | To / From | ”To: Maya · From: Grandpa Joe” | Everyone |
| 3 | Amount or one named service | ”$50” or “One 60-minute massage” | Everyone |
| 4 | A short message | ”Happy 40th, you deserve a treat.” | Personal gifts |
| 5 | Valid-until date, or “No expiry" | "Valid until 31 Dec 2027” | Businesses (required in some places) |
| 6 | Terms line | ”Not redeemable for cash except where required by law.” | Businesses |
| 7 | Serial number | ”GC-0042” | Businesses |
| 8 | Signature, date issued, contact | ”Book on 555-0123” | Everyone |
The most common wording mistake is a vague value. “Spa treat” or “dinner on us” invites a disagreement at the till; “one 60-minute massage” or “dinner for two up to $100” does not.
Gift certificate wording examples for personal gifts
Copy the line, then change the names and the promise. Keep it to two lines so it fits on the certificate.
| Occasion | Wording |
|---|---|
| Birthday | ”Happy Birthday, [Name]! This certificate is good for [gift]. Redeem it any time you like. Love, [Giver]“ |
| Anniversary | ”One weekend away, planned by me. Details are a surprise. Happy anniversary, [Name].” |
| Wedding | ”Our gift to you both: a night out on us. Good for dinner up to $[amount]. Congratulations!” |
| Mother’s or Father’s Day | ”This certificate is good for one day of [Mom/Dad] choosing everything. No arguments. Love, [Name]“ |
| Christmas | ”Merry Christmas! One [movie night / massage / pizza night] is yours to claim.” |
| Teacher thank-you | ”Thank you for a wonderful year. Enjoy a coffee on us. From the class of [year].” |
| New baby | ”Good for one evening of babysitting while you sleep. Give me two days’ notice.” |
| Graduation | ”Congratulations, [Name]! One celebration dinner at the restaurant of your choice, up to $[amount].” |
| Get well | ”Good for one home-delivered meal this week. Just text me what you fancy.” |
| Thank you | ”With thanks for everything you did. Please enjoy [gift] on us.” |
Gift certificate wording for businesses: salon, restaurant, shop and classes
A business certificate carries a promise that you must keep, so say exactly what it covers and do not hide anything. Use the same structure, then add the terms.
| Business | Wording on the front |
|---|---|
| Salon or spa | ”Good for one [60-minute massage] at [Business]. Book on [phone/website]. Valid until [date]. No cash value.” |
| Restaurant or cafe | ”Dinner for two at [Restaurant]. Value $[amount]. Present this certificate when you order.” |
| Shop | ”[Shop] Gift Certificate. Value $[amount]. Certificate No. [number]. Terms apply.” |
| Classes or lessons | ”Good for one introductory [pottery] class at [Studio]. Booking required. Subject to availability.” |
| Photographer or trainer | ”A [45-minute portrait session] with [Name]. Contact [email] to choose a date.” |
Name the service, not a brand name for it. “Glow Package” means nothing to the person holding the certificate three months later.
Terms and conditions for a gift certificate: clauses you can paste
Keep terms short and put them on the certificate itself. Whether you may print a statement like these depends on local law, so read the next section first.
| Clause | Sample wording |
|---|---|
| No cash | ”Not redeemable for cash except where required by law.” |
| Refunds | ”Non-refundable.” |
| Lost or stolen | ”Lost or stolen certificates will not be replaced unless required by law.” |
| Single use or balance | ”Single use. Any unused balance [remains valid / is not refundable].” (choose one) |
| Booking | ”Booking required. Subject to availability.” |
| Transfer | ”Transferable. Present this certificate to redeem.” |
| Expiry | ”Valid until [date].” or “This certificate does not expire.” |
| Serial | ”Certificate No. [number]. Each number can be redeemed once.” |
A complete short version for a small business: “Valid until [date]. Not redeemable for cash except where required by law. Non-refundable. Cannot be replaced if lost or stolen. Present this certificate to redeem. Booking required.”
Gift certificate wording and expiry: what the rules say
Expiry is where gift certificate wording turns into a legal question. These rules are for businesses that sell certificates; a certificate you hand out as a personal present is mostly outside them.
| Place | What the official source says | Source |
|---|---|---|
| United States (federal) | Funds may not expire for at least 5 years from issue; inactivity fees only after 12 months without use, and the terms must be on the card. Paper-only certificates and certificates for a specific service or experience are generally outside the rule, but a code emailed and printed at home is not. | CFPB, 12 CFR 1005.20 and its official comments |
| California | A gift certificate may not be sold with an expiry date or a service fee, with exceptions such as free promotional certificates. Balances under $15 can be cashed out (raised from $10 on 1 April 2026). | Morgan Lewis summary of SB 22 |
| Ontario, Canada | Most gift cards cannot expire or carry fees; cards for one specific service and charity cards can expire. | Ontario.ca |
| Other Canadian provinces | Rules vary by province; promotional, charity and service-specific cards often may expire. | Financial Consumer Agency of Canada |
| Australia | Cards sold since 1 Nov 2019 must be redeemable for at least 3 years, with the expiry date shown or a statement that it never expires. Post-sale fees are banned. | ACCC |
| United Kingdom | No statutory minimum expiry period was found; check the retailer’s terms. If a business enters insolvency, voucher holders are unsecured creditors and may lose the value. | GOV.UK, Law Commission 2016 |
What this means for your wording: a US, Australian or Ontario business that prints “Expires in 6 months” on a paid certificate may be breaking the law. When you are unsure, print “This certificate does not expire” or leave the date out. It also fits the plain rule that you should never promise less than the law gives the customer.
Gift certificate wording for a handmade coupon
For a gift between friends and family, skip the legal terms and be generous with the promise. A handmade certificate works best when it is specific, dated and slightly funny.
- “Good for one home-cooked dinner of your choice. No expiry. Void if I forget to cook.”
- “This coupon entitles you to one back rub. Redeem any time after 8 pm.”
- “One free lift to the airport, any time of day or night. Just give me a week’s notice.”
- “Valid for one lie-in on a Sunday while I make the pancakes.”
Add “no expiry” only if you mean it, and write down the date you gave it so the promise is not forgotten.
Common gift certificate wording mistakes
| Mistake | Fix |
|---|---|
| ”Spa treat” or “Dinner on us” with no value | Name the service or an amount: “one 60-minute massage”, “up to $100” |
| Copying a template’s 6-month expiry onto a paid certificate | Check local rules; use “does not expire” if unsure |
| Terms printed only on your website | Put the key terms on the certificate itself |
| No serial number | Add GC-0001 and keep a log of buyer, amount and redemption date |
| ”Final interpretation rests with the shop” | Drop it; it can make the terms unfair in many places |
| Promising something you cannot deliver (a service you stop offering) | Say “or equivalent value” |
| A hand-written certificate with no date issued | Write the date; it settles any dispute |
Ask an AI: how to write a gift certificate
People now ask an assistant directly. Questions that work, and what a good answer should contain:
- “What do you write on a gift certificate?” To and from, an amount or named service, a valid-until date or “no expiry”, a short message, a terms line and a signature.
- “Do gift certificates expire?” Sometimes. In the US the federal minimum is 5 years for most gift cards, California bans most expiry dates, Australia requires at least 3 years, and most Ontario gift cards cannot expire. Check local rules for your business.
- “Give me gift certificate wording for a birthday.” Use the birthday line above and replace the gift with a specific promise.
Make and print your certificate
Once the wording is settled, use the free gift certificate template to put it on a page. Choose the General, Salon & Spa or Restaurant design, type your amount or service, valid-until date and terms line, and set a prefix for numbered serials (GC-0001, GC-0002). Three certificates fit on one page; print at Actual size / 100% on 65–110 lb cardstock and test one page on plain paper first.
Gift certificate wording: FAQ
What do you write on a gift certificate? Write who it is from and for, an amount or one named service, the valid-until date or “no expiry”, a short personal message, a terms line and a signature. Businesses add a serial number.
What should the terms and conditions of a gift certificate say? Cover cash value, refunds, lost or stolen certificates, whether a balance carries over, booking, transfer and expiry. Keep them short, put them on the certificate and add “except where required by law” where the law may give the holder more rights.
Do gift certificates expire? It depends on where the seller is and what the certificate is for. US federal rules generally require 5 years, California bans most expiry dates, Australia requires at least 3 years and most Ontario gift cards cannot expire. Personal gifts are not covered by these rules.
Can I give a gift certificate without an expiry date? Yes. Print “This certificate does not expire.” It is the safest choice for a business that is unsure of the rules.
Is a gift certificate legally binding? A paid business certificate is a promise to provide the stated service or value, so honour it as written. A homemade coupon is a promise between friends and not usually enforceable, but it still counts.
What is the difference between a gift certificate and a gift card? A gift certificate is usually a paper document for a set amount or service. A gift card is a card, often reloadable, that holds a balance. Some laws treat them differently, and the printed page here does not hold or track money.
Can I get cash back for a gift certificate? Usually not, but some places require it for small balances, such as under $15 in California since April 2026. Use “not redeemable for cash except where required by law”.
Can I print my own gift certificates? Yes. A printable template lets you add a logo, serial numbers and terms, then print on cardstock. Keep a log of numbers so each one is redeemed only once.
